Scheduling Procedures
The Performing Arts Center consists of a number of "Special Use" spaces, including the Bass Concert Hall, McCullough Theatre, P.A.C. Rehearsal Room, Bates Recital Hall, Hogg Auditorium, and B. Iden Payne Theatre. Special Use spaces are those, which have been designated by the Regents as available for non-academic uses and non-University users and which may involve a rental fee. The following is a brief summary of P.A.C. reservation policies and procedures. |

| | Eligibility |
| P.A.C. facilities are not available on a first-come, first-serve basis. Users must show legal status, financial and technical competence, and appropriate need. Religious and political organizations may use facilities only once in a calendar year. Priority is given to uses of educational value or of benefit to the University community. | |
| | Scheduling Priorities |
A minimum of 45 days (six weeks) notice is required in order to schedule an event. Scheduling priority is given to events that are sponsored by (in order):- The College of Fine Arts and official UT departments
- The P.A.C.
- Recurring users (ASO, ALO, Ballet Austin, etc.)
- Registered Student/Faculty/Staff and UT Auxiliary Organizations (Texas Union, Ex-Students Assoc.)
- Non-UT organizations.
Determination of eligibility, programming, and priority is at the discretion of the Director of the PAC. | |
| | Financial Policies |
- UT organizations may retain income derived from events only if such funds are dedicated to University use.
- Non-UT sponsors may not use UT facilities for private gain or for fundraising activities. This applies to both for-profit and not-for-profit organizations. If admission to an event is charged, the event must be co-sponsored by a UT organization. If a profit is made, the funds in excess of expenses must be remitted to the P.A.C. as an additional charge.
- The only exceptions to these rules are for recurring events, in which case profits are dedicated to the cost of subsequent uses of the facility, or for P.A.C. Presenter events, which are programmed by the P.A.C. Director and involve a negotiated fee or split of income after expenses.

| | Fee |
- Official UT sponsors are not charged a facility fee, however they are billed for temporary labor and other out-of-pocket expenses.
- Registered UT and Auxiliary organizations are charged a reduced facility fee and are billed for permanent staff, temporary labor, and out-of-pocket expenses.
- Non-UT users are charged the full facility fee and are billed permanent staff, temp labor, and out-of-pocket expenses. In some cases a deposit and insurance coverage will be required.

| | Reservation Procedures |
- Requests for reservations or technical support must be approved by the P.A.C. Director's office or Events Scheduling Manager at least 45 days (six weeks) prior to move-in. Initial inquiries should be directed to the Events Scheduling Manager. Sponsors are required to complete a Reservation Request form and to supply, if necessary, other documentation of eligibility and use.
- Tentative Holds are for 10 days only. Until an event is confirmed, it may be pre-empted without recourse by an event of higher priority. Once an event is confirmed, it may not be pre-empted.
- Signature authority is required to confirm an event.
- Due to fire and safety rules, public events must be ticketed.
- Technical requirements are due 14 days prior to move-in.
- The P.A.C. has the right to control all aspects of the safe and technical management of events.
- A responsible P.A.C. staff person or delegate must be on-site during any after-hours use of the facility.
- Food and beverages may be dispensed by licensed, insured personnel only.
- Merchandise and other items may be sold only through negotiated agreement. There is generally a 30% commission to the P.A.C. on all merchandise sales.
- Release/Acknowledgement forms may be required before the recording, taping, filming or photographing of an event.
- Estimates of charges are based on "best" knowledge. The P.A.C. is not responsible for unanticipated requirements or requests.
